About Us
We’re a fast-growing math education company that helps high-performing students go from good to “top of the class” and then keeps them with us through graduation.

Role Overview
You will own all core systems that keep the business running: attendance, absentee tracking, payroll, CRM, automations, and reporting. Your mission is to make our operations reliable, documented, and scalable so no single person is a point of failure. You are both architect and hands-on builder.

Key Outcomes (Scorecard)

Your success in the first 12–18 months will be measured by:

  1. System reliability:

    • 99.5%+ uptime across attendance, absentee, payroll, and CRM systems.

    • Minimise critical incidents per quarter

  2. De-risking the business:

    • 100% of business-critical processes documented within 6 months.

    • At least 2 people fully trained on every critical workflow you own.

  3. Operational efficiency:

    • For example: Reduce manual admin time per student by at least 30% within 12 months.

    • For example: Cut error rates in attendance/payroll data to under 1%.

  4. Visibility and reporting:

    • Build and maintain a simple dashboard that founders can use weekly to see revenue, attendance, churn, and key KPIs without asking you.

  5. Project delivery:

    • Plan and ship 1–2 meaningful automation or system-improvement projects per quarter on time and within agreed scope.

Responsibilities
  • Own and improve all internal systems: attendance, absentee, payroll, CRM, marketing and sales automations, and internal dashboards.

  • Map core processes end-to-end and turn them into clear, written SOPs with screenshots and Looms.

  • Design, build, and maintain integrations between tools (e.g., CRM ↔ scheduling ↔ payment ↔ reporting).

  • Troubleshoot system issues quickly and put in permanent fixes, not band-aids.

  • Work directly with the founders to understand goals and translate them into systems and metrics.

  • Train team members to use systems correctly; run occasional trainings and refreshers.

  • Manage vendors / tools (selection, negotiation, renewals) and keep the stack lean and effective.

  • Maintain basic data hygiene, permissions, and security across systems.

Requirements
  • 2+ years in a Revenue Operations, Business Systems, or similar role in a SaaS, education, or online services company.

  • Proven track record owning a tech stack (CRM, automations, reporting) and making operations more efficient.

  • Strong hands-on experience with tools like CRMs, marketing automation, no-code tools (Zapier/Make), and spreadsheets/BI.

  • You think in systems: you hate “it’s all in my head” and naturally create documentation and structure.

  • Able to work closely with founders, push back when needed, and translate vision into processes.

  • Excellent written communication; you can create SOPs that non-technical people can follow.

What Success Looks Like

Within 6 months, every critical system is documented and running smoothly without founder involvement. Within 12–18 months, the company can scale revenue and student count significantly without operational chaos, because the systems and processes you built make the machine run.
